Inside Keen AI: building the conversation around the answer

A look at our own website chat integration and why conversation context, a clear staff handover and useful failure states matter alongside the AI reply.

Illustrative team discussing an AI-assisted customer workflow

A useful website assistant needs a good conversation flow as well as a generated answer. Keen AI connects the Keen Systems website chat to an AI reply service, while giving visitors a way to reach people when that is the better next step.

The starting point: keep the enquiry together

A visitor may describe a business need across several messages. The website stores the conversation and supplies recent context when it asks the configured Keen AI service for a reply. This lets the integration work with the current enquiry instead of treating every message as an isolated contact form.

The implementation described here is our own website integration. We are sharing the behaviour present in the system, without attaching invented customer results or a claimed response-time improvement to it.

The most important button may be the one for a person

Automation should not make someone repeat a request indefinitely. A team-member request pauses AI replies and marks the conversation for attention. The website also provides WhatsApp continuation. A person can then discuss the details that matter for a quotation, project scope or support decision.

The handover route is available in the experience, but staff response still depends on team availability. That distinction matters: offering a contact channel is different from promising an always-available human operator.

Why newer messages must take priority

Suppose a visitor sends a follow-up while an answer is being prepared. Or a staff member takes over before the answer returns. Posting the old response anyway could confuse the conversation. The website checks for newer messages and staff ownership before inserting an AI reply, and supersedes work that no longer fits the current chat state.

Those details are less visible than the chat design, but they affect whether the assistant feels coherent during everyday use. They are also useful examples of the workflow engineering required in a custom web application.

Make an unavailable reply understandable

External services can fail or take too long. The website uses bounded retries for selected failures and shows an explicit message when the reply cannot be completed. The visitor can send another message, request a team member or continue on WhatsApp. An honest fallback is part of the experience.

What this means for another business

A similar assistant project should start with approved information and a small set of valuable enquiries. Agree what it may answer, what must be escalated and which records it may access. Add business-system integrations only when their permissions, error handling and review requirements are clear.

Sending chat history to a reply service is not the same as training a custom model. A production assistant also needs an agreed privacy approach, maintained information and representative evaluation. The right scope depends on the business and the decisions the assistant is expected to support.
