Choice Park — Connected Operations with Keen AI
A bespoke, AI-integrated operations platform connecting Choice Park’s assets, branch maintenance, inventory and GRN, supplier accounts, fleet, documents and reporting—built around Mr. Rizly’s operational vision.

The work behind a multi-location retail business.
Retail operations depend on much more than the sales floor. Equipment must be accounted for, materials must reach the right branch, maintenance needs approval, supplier bills need evidence, and managers need a clear view of what is happening.
Choice Park is a Sri Lankan retail brand. Its official company profile lists Kekirawa, Akurana, Kaduruwela, Matale and Katugastota. This project brings the operational work around that kind of branch environment into one purpose-built application.
The system’s original ideas and complete operational concept came from Mr. Rizly of Choice Park. Keen Systems translated that vision into the software, connected workflows and AI integration described here.

A business platform with connected records.
One connected operation.
Explore every workspace.
Enhanced interface presentations based on implemented Choice Park screens, using anonymized example records. Select a workspace to see how the system fits together.
A clear starting point for the day’s decisions.
The workspace brings the cash and bank position, money movements, supplier balances, pending requests and operational attention items into a shared overview. Managers can move from an indicator into the underlying records instead of maintaining a separate reporting spreadsheet.
- Daily visibility: cash-flow activity, recent transactions, request status and record totals.
- Actionable attention: request approvals, expiring documents and vehicle service needs link back to their workflows.
- Consistent navigation: quick entry points for cash, maintenance requests, asset registration and vehicle journeys.
- Scoped views: the interface follows the signed-in user’s permitted locations and modules.
Every asset has a connected operational history.
An asset record connects its identity with the people, places, evidence and costs around it. The application supports equipment and facilities across branches, with ownership and condition treated as part of the record rather than as disconnected notes.
- Identity and classification: asset codes, model, category/type/brand, multiple serials, barcode, QR and RFID fields.
- Ownership and responsibility: company or external ownership, agreements, branch, department, location and custody assignments.
- Lifecycle evidence: photos, related assets, documents, warranties, service dates, costs, assignments and activity history.
- Controlled movement: asset transfers retain source/destination context and identity snapshots; branch moves clear stale custody/location details.
- Field-ready output: printable asset profiles and transfer handover notes keep the record useful away from the screen.
One item identity. Clear stock at every branch.
The Item Master gives each material one code while opening balances, supplier receipts and transfers retain their own provenance. Current stock is a branch balance; transaction-level detail remains available in history.
- Item structure: categories, subcategories, units and decimal precision, brands, specifications, additional details, suppliers and replaceable images.
- Opening stock and GRN: an opening balance remains distinct from a supplier Goods Receiving Note. A GRN records supplier, date, quantity, unit cost and delivery/invoice reference, adds stock and creates the due supplier bill without recording a payment.
- Purchase workflow: supplier and linked-item rows progress through the purchase/receiving flow; receipt costs connect inventory to Accounts.
- Interbranch transfer: completion moves available stock using source lot costs, preserves supplier/lot provenance and produces a handover record.
- Readable reporting: stock exports use one row per item code with branch quantities and a single item total; opening, GRN and movement detail stays in history.
From a reported issue to reviewed, documented work.
Branch requests create a controlled work record with location, category, priority, subject, description, due date and configurable checklist items. The request remains connected to its service provider, evidence and review stages as work progresses.
- Work coordination: submission, approval/rejection, technician assignment, start, hold, completion, closure, cancellation and reopening follow permitted transitions.
- Completion discipline: required checklist items and open quotation/invoice reviews are checked before completion.
- Service and supplier context: service/labour lines, quantities, unit charges, descriptions and optional equipment links keep the work understandable.
- Evidence and review: request photos/PDFs, quotations, supplier invoices, comments and status history stay with the request. Reviewed financial amendments return to review.
- Practical documents: the concise A4 request form includes photo slots, remarks and signature areas, with overflow carried to continuation pages.
The invoice, its evidence and its payment stay together.
Integrated Accounts connects supplier work and purchasing to branch allocations, cash/bank ledgers and journals. It supports direct Contractor/Goods supplier invoices as well as bills arising from operational source records.
- Supplier invoices: invoice evidence, branch work descriptions, multiple allocations, due balances and payment history.
- Cash and bank control: dated money entries, payment methods, references, ledger transfers, supplier allocations and controlled reversals.
- Accounting views: chart of accounts, journals, account statements, trial balance and income/expense and balance-sheet views.
- Service/work invoicing: draft and issued customer invoices, line quantities/discounts, partial receipts and receivable/revenue posting for service work.
- Payroll: employee salary defaults, monthly branch runs, approval history, payslips and salary payments.
- Financial integrity: atomic source posting, repeat-submission checks and paid-record guards help keep operational records and accounting consistent.
Journeys, fuel and maintenance in the same fleet record.
The fleet workspace connects each vehicle to its branch, driver, odometer, documents and operational events. Journey costs can be understood by branch allocation instead of being left as a single unexplained trip amount.
- Vehicle and driver masters: active status, vehicle identity, make/model, fuel type, driver eligibility and document context.
- Trip recording: purpose, route, driver/assistant, opening/closing kilometres, total distance, per-kilometre rate and branch-wise distance/amount allocation.
- Fuel purchases: litres, unit cost, total, odometer, station and receipt references form a distinct purchase record.
- Maintenance history: service types, parts/labour/other costs, workshop/provider details, evidence and next-service date/KM.
- Follow-up and output: due/critical/overdue attention, full trip history, filtered reports, PDF, Excel, CSV and print views.
Evidence that can be opened. Reports that can be used.
The reporting workspace covers 18 implemented datasets with shared filtering and location-aware access. Report output follows the selected records and scope, rather than silently stopping at the current screen page.
- Operational coverage: fleet activity, trips, fuel, vehicle maintenance, branch requests, request invoices, document expiry, assets, item stock, stock movements, purchases and transfers.
- Financial coverage: supplier bills/balances, service sales, money book, journal and payroll.
- Report controls: applicable date/location/status/source filters, grouping, column selection, saved views, full-result totals and bounded exports.
- Ready to share: PDF, genuine Excel, CSV and print formats; profiles and selected asset/item outputs support appropriate photos.
- Document control: multiple files, categories, references, validity dates, linked assets/vehicles/locations and controlled sharing where enabled.
- Preview without losing context: image/PDF previews, full-size viewing and downloads sit beside saved invoices, requests, asset records and documents.
AI that works within the operation’s boundaries.
Keen AI is integrated into the application’s page context, curated feature guide and authorized reporting sources. It is designed to assist an existing workflow while retaining the application’s permission, review and audit boundaries.
- Context-aware guidance: page-aware questions, feature guidance, image input, separate conversations and a full-screen workspace.
- Source-grounded answers: scoped live-record lookups and filtered report previews/PDFs use the system’s reporting model and permitted locations.
- Reviewed profile changes: supported edits show a before/after proposal for confirmation; stale-version and repeat-apply checks protect the final action.
- Controlled delivery: configured report delivery is restricted to the approved recipient; the assistant does not accept arbitrary destinations or SQL.
- Granular access: primary and custom roles, permission matrices, multiple-location assignments, cost/history restrictions and server-side checks.
- Operational safeguards: audit records, dependency-aware corrections/deletion, private upload storage, resumable uploads and entitlement-aware read-only continuity. Platform subscription administration remains separate from operational Admin access.
A connected record chain, engineered with care.
The depth of this system is in how its records relate. A supplier receipt can add a branch stock lot and create a payable. A transfer retains the originating cost and supplier trail. A maintenance invoice links to the request and Accounts. A report and an AI lookup use the same authorized data boundaries.
The implementation uses Next.js, React and TypeScript, Prisma with MariaDB, authenticated server workflows, private file storage, resumable upload handling and shared PDF/Excel/CSV reporting. Financial transactions and stock completion routines use guarded, atomic operations rather than relying on visible button states.
Designed around real branch work, the application also supports responsive layouts, keyboard-led data entry, configurable typography and consistent document output. The aim is a dependable operating system for the maintenance team—not another isolated form to maintain.

Understanding the scope.
A few distinctions that matter when reviewing a connected operations platform.
What is the role of this system within Choice Park?
It is a bespoke maintenance and business-operations application connecting assets, branch work, materials, supplier costs, documents, fleet activity, Accounts and reporting. Its service/work invoicing is distinct from a retail point-of-sale checkout.
Does Keen AI bypass the normal approval or accounting workflow?
No. It provides contextual guidance, authorized data/report access and reviewed supported profile edits. Stock, finance, permissions and other guarded operations continue through their normal application workflows.
Are the interface images unmodified production screenshots?
The visuals are AI-enhanced product presentations based on implemented Choice Park screens and anonymized demonstration records. They illustrate the system’s workflows without publishing live user identities, private accounts or customer data. The explanatory feature descriptions are grounded in the implemented application.
