Where to begin

Give each counter a clear workflow while keeping branch responsibility visible.

A multi-branch pharmacy rollout needs more than a billing screen. Agree how items, batches, expiry dates, branch stock, transfers and staff approvals are maintained, then validate counter work and head-office reporting together before expanding to every branch.

Follow the work

A connected operating flow

  1. 01

    Prepare items

Agree naming, pack units, batch and expiry fields and opening quantities.

  2. 02

    Validate counters

Test normal billing, returns, held bills and permitted payment methods.

  3. 03

    Control access

Define cashier, supervisor and head-office responsibilities.

  4. 04

    Roll out branches

Pilot, reconcile results and train the next branch with the same checklist.

Make medicine and branch records consistent before rollout

Agree how the business identifies each item and its purchase or selling units. If the scope uses batches and expiry dates, decide who records them at receiving and how staff handle a correction. Opening stock needs a count and an agreed cutover time for every location.

Use real examples of similar item names, differing pack sizes and near-expiry stock when reviewing the system. Confirm how branch availability is displayed and how a transfer moves from dispatch to receipt. Staff should know whether a quantity is current, pending or awaiting a count.

  • Item and unit naming owned by a named staff member
  • Receiving checks for the fields the business requires
  • A branch-by-branch opening-stock reconciliation

Test a full counter shift, including exceptions

A useful demonstration includes finding items, billing, holding a transaction, handling a return and closing a register. Make the approval boundaries visible: which user may change a price, authorize a discount or complete a sensitive correction?

For a hybrid deployment, agree which counter functions remain available during a connection interruption. Test queued transactions and reconciliation on reconnection. Online-dependent services can behave differently from local billing, so test them individually.

Design access around roles and branches

Cashiers, supervisors and the owner need different scopes of access. Agree branch visibility, approval steps and the records used to review changes. Shared staff credentials make it harder to explain who performed an action.

The published Health Care Pharmacy project covers four branches and 28 employees working simultaneously. It provides an implementation example for multi-branch operations; your user count, devices, access model and operating conditions still need their own acceptance test.

Separate operational acceptance from professional obligations

The system supports operational records and agreed workflows. Pharmacy procedures, dispensing decisions and professional or regulatory obligations remain the responsibility of the business and its qualified staff. Those requirements should be supplied during scoping rather than inferred from a generic software checklist.

Start with a representative branch, reconcile stock and payment reports, and record any exceptions before extending the rollout. Keep training materials close to the tasks staff perform, including correction and recovery procedures.

Questions before the next step

Common planning questions

Has Keen Systems delivered a four-branch pharmacy system?

Yes. The published Health Care Pharmacy case study describes a hybrid ERP implementation for four branches and 28 employees working simultaneously.

Can every branch have different user permissions?

Branch visibility, cashier roles and supervisor approvals can be included in the agreed access design. Test the named roles with representative tasks before rollout.

How should opening stock be moved into the new system?

Prepare item and unit mappings, count stock by location, agree a cutover time and reconcile the imported quantities. Batch and expiry information should be included where required by the agreed workflow.

Does pharmacy software replace professional dispensing procedures?

No. Software supports agreed operational records. Qualified staff remain responsible for professional decisions and the business’s applicable procedures and obligations.
